Group Treasurer – Trustee

The Group Treasurer is responsible for ensuring the financial good health of the Group, and enabling the Group Executive & Group Programme Teams to deliver awesome Scouting experiences to the members of the Group.

The Person

Our Treasurer will ideally have experience in managing finances, preferably using online accounting packages, like Sage or Xero, however training will be available for the enthusiastic and committed person who wants to join the team.

Our Treasurer will want ensure there is a sound financial footing for all expenditure decisions, and understand that Scouting is about spending money to enable our Section Teams to deliver an exciting, engaging and above all, safe programme.

The Training

Scouting has a core set of training that Trustees will need to undertake:

  • Module 1 – Essential Information
  • General Data Protection Regulations
  • Safety
  • Safeguarding
  • Trustee Induction
Tools of the Role

Your role will require you to use the following software packages, if you have no experience of those packages, we will support you in gaining skills to enable you to be our Treasurer:

  • Online Scout Manager
  • Sage Online Accounting
  • Office365 (Word, Excel, Outlook, Teams)
  • Stripe Online Payments

Core Tasks/Responsibilities

  • Manage and monitor the financial activities of the Group.
  • Prepare and present financial reports and accounts to the Executive Committee.
  • Leading the Executive Committee in the creation of budgets and financial planning and monitoring of these.
  • Ensuring that all financial reports, annual statements of account and supporting documents (including receipts, cheque books and bank statements) are maintained accurately and in accordancewith legal regulations.
  • Ensuring that the Group, District or County/Area/Region is financially able to function, has appropriate reserves and accounting procedures and controls in place.
  • Prepare the Annual Statement of Accounts for independent examination and approval by the Executive Committee and presenting these at the Annual General Meeting.
  • Administering the process of Independent Examination of the Annual Statement of Accounts in accordance with Policy, Organisation and Rules.
  • Membership and attendance of any finance working groups or sub-Committees set by the Executive Committee where appropriate.

The Process

Every volunteer who applies will be considered, as there may be a requirement for Section Bookkeepers to assist with the day-to-day finances of a Section (chasing payments, issuing receipts etc).

The successful applicant will be appointed to post until the first Group AGM, whereby they will need to stand for re-election as per Policy, Organisation & Rules, the rules of the Scout Association.

Mandatory Training needs completing within 5 months of DBS being submitted, and an informal interview with the District Appointments Committee, at some point when it reconvenes.
